Visitor management system pricing in India follows one of three models: a monthly subscription per location or reception desk, a charge per visitor or per SMS, or a one-time licence with an annual support fee. Our own software, SKY-VMS, starts at ₹1,399 per month for one location with unlimited visitor entries. The model matters more than the headline number, because a busy reception can turn a cheap per-visitor plan into the most expensive option on the list.
Model 1: Flat subscription per location
You pay a fixed monthly amount for each reception, gate or branch, however many visitors walk in. This is the easiest model to budget for, and it suits banks, offices and factories with steady footfall.
The question to ask: is "unlimited visitors" actually unlimited, or is there a fair-use cap buried in the terms?
Model 2: Per visitor, per SMS or per OTP
Some cloud products charge for each check-in, or bill SMS and OTP messages separately. It looks cheap in a demo with ten visitors. At a branch or a society gate handling a few hundred visitors a day, it adds up quickly and becomes unpredictable month to month.
Before signing, multiply the per-visitor or per-message rate by your real daily footfall over a full month.
Model 3: One-time licence plus AMC
You buy the software outright and pay a yearly support or AMC fee for updates and help. Higher upfront cost, lower running cost — and you are not locked into a subscription. Check what happens to updates if you stop paying the annual fee.
Costs that are easy to miss
- Hardware: a PC or tablet at reception, webcam, and a badge or pass printer if you need printed passes
- Setup and staff training, charged once per site
- SMS and WhatsApp message charges on some cloud plans
- Extra charges per additional reception desk or gate
- Data export fees, or no export at all, when you leave
Cloud or on-premise: the hidden price of data location
Cloud visitor systems store names, phone numbers and photos of your visitors on the vendor's servers. Under India's Digital Personal Data Protection Act, 2023, your organisation remains responsible for that personal data. Banks, hospitals and companies with strict compliance teams often find the cloud option fails the approval stage — which is a cost in itself, measured in months.
On-premise software keeps the database on your own machine. It also keeps working when the internet drops, which matters at a bank branch or a factory gate.
What SKY-VMS costs
- Starter — ₹1,399 per month, 1 location: unlimited visitor entries, photo and purpose capture, check-in and check-out, host email alerts, Excel reports and automatic backups
- Professional — ₹2,499 per month, up to 3 locations: adds visitor badge and pass printing, pre-registration of expected visitors, and department-wise reporting
- Enterprise — custom pricing for 4 or more locations, with on-site installation, staff training and integration with access control hardware
GST is applicable, and one-time setup is quoted per site. SKY-VMS is an offline-first Windows application with the database stored locally, and it is in daily use at Abhyudaya Co-operative Bank Ltd.
How to compare visitor management quotes
- Work out the 12-month cost at your real daily footfall, not the demo figure
- Ask where visitor data is stored, and get it in writing
- Ask whether it works when the internet is down
- Ask how you export all your data if you leave
- Ask who supports it locally, and how fast
